We recently implemented a back-end software for our phone systems that lets you edit and create visual call flows with unprecedented ease.
Now what is a visual call flow? It is a flow diagram of how your phone system is set to operate. For example, when you call a number you can have it redirect to either a group of phones or to a robotic voice menu known as an IVR (ex: Press 1 for Sales, Press 2 for Customer Service, etc.). You could also set it up so calling a number will only ring certain phones or redirect to only certain people. You can even add your own custom hold music.
There are numerous benefits with this kind of approach. First off, your organization will increase efficiency –people won’t waste time forwarding calls to different departments or people. This will also help to alleviate customer frustration.
It also helps your credibility as a business. Every company wants to be as credible as possible, and when a customer hears a robotic voice system redirecting them, it gives the impression that your business is well developed and maintained.
